We want every booking on SportixArena to go smoothly. When things don't go as planned, this policy sets out exactly what refunds you're entitled to and how to claim them.
1. Standard Court & Venue Booking Cancellations
The time before your booked session determines your refund eligibility:
Full Refund
24+ hours before
Cancel at least 24 hours before your session start time for a 100% refund.
Partial Refund
6 – 24 hours before
50% refund or platform credit, depending on venue policy shown at checkout.
No Refund
Under 6 hours / No-show
Cancellations less than 6 hours before the session or no-shows are non-refundable.
Some venues apply stricter policies (e.g., 48-hour cancellation windows for peak-time bookings). These will be clearly displayed on the booking page before you confirm payment.
2. Coaching Session Cancellations
Coaching cancellation policies are set by individual coaches:
- Each coach's cancellation policy is displayed on their profile and at checkout before you pay
- Most coaches follow the same 24-hour / 6-hour structure above
- Session packages: unused sessions in a package may be refunded at the per-session rate for the remaining sessions, minus any applicable discount applied to the package price
3. Flash Deals
Flash Deal bookings are subject to the same cancellation windows as standard bookings. Because flash deal prices are already discounted:
- Refunds are calculated based on the discounted price paid, not the standard price
- Some flash deals may be marked as "non-refundable" — this will be shown clearly before purchase
4. Let's Play (Open Games)
For group games created via the Let's Play feature:
- If you cancel your spot more than 24 hours before the game: full refund of your share
- If you cancel within 24 hours: no refund (the cost has already been redistributed to cover the court)
- If the game organiser cancels the entire game: all players receive a full refund regardless of timing
- If the minimum player count is not reached and the organiser cancels: full refund to all players
5. Venue or Coach Fails to Show / Cancels
If a confirmed booking is cancelled by the venue or coach, or the venue is closed at the time of your booking:
- You are entitled to a full refund regardless of timing
- We will also credit your account with 100 bonus loyalty points as an apology
- Contact us within 48 hours of the incident with your booking reference
6. Technical Errors & Double Charges
If you are charged more than once for the same booking, or if a technical error results in an incorrect charge:
- Contact us at support@atomic.limited with your booking reference and payment screenshot
- We will investigate and issue a full refund for any duplicate or erroneous charges within 5 business days
7. How to Request a Refund
Within the App (Fastest)
- Go to My Bookings → Booking Detail → Cancel Booking
- Eligible refunds are processed automatically and shown as "Refund Pending"
By Email
- Email support@atomic.limited with Subject: "Refund Request — [Booking Reference]"
- Include: booking reference, reason for refund, and your payment method
8. Refund Processing Times
- Credit/Debit Card: 5–10 business days (depends on your issuing bank)
- Apple Pay / Google Pay: 3–7 business days
- Platform Credit: Instant (credited to your SportixArena wallet immediately)
We initiate refunds within 1–2 business days of approval. Processing time after that is controlled by your bank.
9. Disputes
If your refund request is rejected and you disagree with our decision:
- Email disputes@atomic.limited with full details
- We will review and respond within 5 business days
- If still unresolved, you may refer the matter to your bank's chargeback process or, for UK users, to the Alternative Dispute Resolution scheme
10. Loyalty Points
Loyalty points earned on a booking that is later refunded will be deducted from your balance. Points cannot be redeemed for cash.
